A GoHighLevel Ninja Forms integration lets the form already sitting on your WordPress site push every enquiry straight into your HighLevel CRM, where a workflow can tag it, assign it and text the lead back within a minute. Done well, nobody on your team ever copies a form email into the CRM by hand again.

This guide walks through the three realistic ways to connect Ninja Forms to HighLevel, how to map fields properly, what each path costs in 2026, and when you are better off retiring the Ninja form and embedding a native HighLevel form instead.

Three ways to connect Ninja Forms to HighLevel

There is no one-click Ninja Forms app inside HighLevel, so every setup relies on one of three routes.

  • Webhooks add-on to an Inbound Webhook trigger: Ninja Forms posts the submission directly to a HighLevel workflow URL. No middleman, fastest delivery.
  • Zapier or Make: the Ninja Forms Zapier add-on sends the entry to Zapier, which creates or updates the contact in HighLevel. Easiest to set up, but you pay for another subscription.
  • Replace with a native HighLevel form: build the form in HighLevel and embed it on WordPress. No add-ons, no sync to break.

If you have read our WPForms integration guide, the logic is identical; only the plugin screens differ.

Which path suits which business

A single-location service business with one or two forms usually does best with the webhook route. An agency already running Zapier for other clients may prefer to keep everything in one place.

A business that is rebuilding its site, or has forms that are basic name, email and phone fields, should seriously consider the native form route.

GoHighLevel Ninja Forms integration via webhook: step by step

This is the setup we use most often for clients. It needs the Ninja Forms Webhooks add-on on the WordPress side and workflow premium features enabled on the HighLevel side.

Step 1: Create the Inbound Webhook workflow in HighLevel

In the sub-account, go to Automation, create a new workflow from scratch and add the Inbound Webhook trigger. HighLevel generates a unique URL; copy it.

HighLevel's own Inbound Webhook trigger documentation notes the payload must be JSON and should include an email or phone number so the workflow can match a contact. For a deeper walkthrough of both directions, see our guide to inbound and outbound webhooks in GoHighLevel.

Step 2: Add the Webhooks action in Ninja Forms

Install the Ninja Forms Webhooks add-on, open your form, then go to Emails & Actions and add a Webhooks action. Paste the HighLevel URL and set the method to POST.

Add one argument per field. Use simple, consistent keys such as first_name, last_name, email, phone, message and consent, and point each one at the matching Ninja Forms merge tag.

Step 3: Send a test and map the fields

Submit the live form once with dummy data. Back in HighLevel, click "Fetch Sample Requests" on the trigger, pick your test, and the keys appear as variables.

Now add a Create or Update Contact action and map each incoming key to the correct standard field. Anything without a standard home, such as service type or suburb, goes into a custom field you create first.

EmailemailContact: Email
PhonephoneContact: Phone (E.164)

Not sure whether something should be a tag or a field? Our breakdown of tags versus custom fields covers the rule of thumb: tags for segments you act on, fields for data you read.

The integration is only as useful as the data it carries.

Tags that describe the entry point

Add a tag action straight after Create or Update Contact, for example "nf-contact-form" or "nf-quote-request". If you run several Ninja forms, give each its own tag so reporting stays clean.

UTMs and hidden fields

Ninja Forms supports hidden fields, and its querystring merge tags can capture values from the page URL. Add hidden fields for utm_source, utm_medium, utm_campaign and the page URL, then pass them through the webhook.

Without these hidden fields, every webhook lead looks like it came from nowhere, and your attribution reports in HighLevel will be useless.

Australia's Spam Act requires consent before you send commercial electronic messages, and that includes SMS. Add an unticked checkbox with plain wording, such as "Yes, I'm happy to receive SMS and email updates", and send its value to HighLevel.

If you also message US numbers, A2P 10DLC registration expects clear opt-in language on the form that collects the number.

The form is just the doorway. The money is made in the sixty seconds after someone walks through it.

What the HighLevel workflow should do after submission

Once the contact exists, the same workflow can do the follow-up work your team would otherwise forget. A sensible sequence for most service businesses looks like this.

  • Assign an owner: use Assign to User, round-robin if you have several sales staff.
  • Create a pipeline opportunity: drop the lead into "New Enquiry" with the service value if you know it.
  • Speed-to-lead SMS: an If/Else on the consent field, then a short, human text from the assigned owner.
  • Internal notification: SMS or email the owner with the enquiry details.
  • Wait and check: if the opportunity has not moved stage within a set time, create a task.

If you later switch to a native form, this whole sequence moves across almost unchanged; you swap the trigger for the Form Submitted trigger in GoHighLevel and keep every action.

Connecting Ninja Forms to HighLevel through Zapier or Make

The Zapier route suits teams who do not want to touch webhook payloads. Install the Ninja Forms Zapier add-on, add the Zapier action to your form, and build a Zap that uses HighLevel's create or update contact action.

Make works similarly through a generic webhook module. Either way, map the same fields, tags and hidden UTM values as above, then let a HighLevel workflow triggered by the tag handle follow-up.

The trade-off is an extra subscription that charges by task volume, and one more system that can fail silently. Our GoHighLevel Zapier integration guide covers task limits and error handling in more detail.

Prices below are as listed on ninjaforms.com and gohighlevel.com/pricing in 2026, in US dollars. Zapier's pricing changes often and depends on task volume, so check it against your own expected submissions.

For context, HighLevel's pricing page lists the Starter plan at US$97/month, Unlimited at US$297/month and Agency Pro at US$497/month (gohighlevel.com, 2026). You need one of these regardless of which route you pick.

When to just switch to a native GHL form

Here is the honest verdict. If your Ninja form is a simple contact or quote form, a native HighLevel form is usually the better choice. It writes straight to the contact record, fires workflows instantly, and removes two moving parts.

Keep Ninja Forms if you rely on features tied to WordPress, such as complex calculations, user registration, front-end posting or a long history of entries you report on inside WordPress. In those cases, the webhook route is the cleanest bridge.

Switch if any of these sound familiar:

  • You are paying for add-ons purely to get data into HighLevel.
  • Leads go missing whenever a plugin update breaks the action.
  • Your team checks two places to see whether a form was submitted.
  • You want HighLevel's own attribution and reporting to just work.

Testing and troubleshooting the Ninja Forms to HighLevel sync

Before going live, test three submissions: every field filled, consent unticked, and an email already in the CRM.

Duplicate contacts

Duplicates usually come from mismatched identifiers, such as the same person entering a different email, or a phone number arriving in a different format. Check the sub-account's duplicate contact settings and make sure both email and phone are mapped.

Phone formatting for Australian numbers

Australians type mobiles as 0412 345 678, and HighLevel matches most reliably on E.164 format, +61412345678. Ask for the number in a consistent format on the form, or use a workflow formatting step before Create or Update Contact.

Nothing arrives at all

Check the webhook action is enabled on the right form, the URL has no trailing spaces, and workflow premium features are switched on for the sub-account.

Common mistakes to avoid

  • Leaving the HighLevel workflow in draft and wondering why tests vanish.
  • Sending phone numbers without the +61 country code.
  • Pre-ticking the consent box, which undermines the consent you are relying on.
  • Skipping hidden UTM fields, so every lead shows no source.
  • Using one tag for every form, making it impossible to tell enquiries apart.
  • Running both a Zapier action and a webhook action on the same form, creating double entries.

Frequently asked questions

Does GoHighLevel have a native Ninja Forms integration?

No, there is no direct Ninja Forms app inside HighLevel. You connect the two with the Ninja Forms Webhooks add-on and an Inbound Webhook trigger, through Zapier or Make, or by replacing the Ninja form with a native HighLevel form.

Which Ninja Forms plan includes the Webhooks add-on?

According to ninjaforms.com in 2026, the Webhooks add-on is included in the Elite membership. It can also be bought on its own, listed at US$49 per year for a single site.

Which Ninja Forms plan includes the Zapier add-on?

Ninja Forms lists the Zapier add-on as included in its Pro and Elite memberships in 2026. It is also sold separately, listed at US$29 per year for a single site.

Is the Inbound Webhook trigger free in HighLevel?

It is a premium workflow trigger. HighLevel's help documentation says sub-accounts get 100 free executions once premium features are enabled, after which executions are billed and agencies can rebill them to clients.

How do I stop duplicate contacts from Ninja Forms submissions?

Map both email and phone, send phone numbers in E.164 format such as +61412345678, and check the duplicate contact settings in your sub-account. Also make sure only one integration action runs on each form.

Do I need a consent checkbox on my Ninja form?

If you plan to send marketing SMS or email, yes. Australia's Spam Act requires consent for commercial electronic messages, so use an unticked checkbox with clear wording and pass its value to HighLevel.

Should I replace Ninja Forms with a native HighLevel form?

For simple contact and quote forms, usually yes, because a native form writes straight to the CRM with no add-ons to maintain. Keep Ninja Forms only if you depend on WordPress-specific features like calculations, user registration or front-end posting.
