A GoHighLevel lead magnet delivery workflow is the small piece of automation that decides whether your new opt-in feels professional or forgotten. Someone hands over their email for your checklist, and within seconds they either have it in their inbox or they are left wondering whether the form even worked.

In this guide I walk through the exact build we use for clients: opt-in page and form, the Form Submitted trigger, hosting the PDF, the delivery email and optional SMS, tagging, a short nurture sequence that points to a booked call, and the deliverability and Spam Act basics that keep it all landing in the inbox.

Plan your GoHighLevel lead magnet delivery before you build

Most broken lead magnet automations fail because nobody decided the delivery path up front. Write down four things first.

  • The asset: one PDF, checklist or guide, with a clear file name such as ndis-provider-onboarding-checklist.pdf.
  • The tag: a consistent naming pattern such as lm-onboarding-checklist, so you can report on it later.
  • The delivery method: email link, thank-you page download, or both.
  • The next step: what you want the reader to do after consuming it, which is usually booking a call.

Build the opt-in page and form for HighLevel lead magnet automation

Create a two-step funnel in Sites > Funnels: an opt-in page and a thank-you page, each focused on one promise.

Build the form itself in Sites > Forms. Ask only for what you will actually use: first name, email, and mobile if you genuinely plan to send SMS. Our walkthrough on setting up GoHighLevel forms and surveys covers field types, styling and redirect settings in detail.

Consent fields you should add

Add a clear, unticked checkbox for marketing consent in plain English. If you collect a mobile number, make SMS consent a separate, explicit checkbox.

Set the form's on-submit action to redirect to your thank-you page, not just display a message. The thank-you page is a second delivery point and a natural place to offer the next step.

Host the lead magnet file in the Media Library

Upload the PDF to the Media Library (labelled Media Storage in the sidebar), in a "Lead Magnets" folder, then copy the file's link URL.

Always deliver a link, never an attachment, which bloats the message and hides who opened the file. If you need help with folders and file housekeeping, see our Media Library storage guide for GoHighLevel.

On the thank-you page, HighLevel's Download File action for buttons, images and SVGs lets a visitor grab the asset directly without leaving the funnel.

Choose a lead magnet delivery method that fits your goal

There are three practical delivery patterns, each trading convenience against tracking.

Delivery methodHow it worksStrengthsWatch-outs
Email link onlyWorkflow emails a link to the Media Library fileConfirms the email address is real; builds sender reputation with engaged opensIf the email lands in spam, the lead never gets the asset
Thank-you page downloadDownload File button on the redirect pageInstant gratification; no dependence on inbox placementFake or mistyped emails still get the file; weaker list quality
Both (recommended)Download on the thank-you page plus a backup email with a trigger linkBest experience and a copy in the inbox for later; clicks can be trackedSlightly more setup and testing

For most service businesses we use "both": instant access now, plus a copy in the inbox for later.

Track downloads with a trigger link

Instead of pasting the raw file URL into your email, create a trigger link in Marketing > Trigger Links that points at the file. When a contact clicks it, the trigger link tracking registers the click against their record, and a separate workflow using the Trigger Link Clicked trigger can add a tag such as lm-onboarding-checklist-downloaded.

A lead magnet is not the finish line. It is the first sentence of a conversation you want to end on a booked call.

Build the HighLevel lead magnet delivery workflow step by step

Go to Automation > Workflows, create a workflow from scratch, name it "LM | Onboarding Checklist | Delivery" and add the steps below.

StepTrigger or actionSettingsPurpose
1Trigger: Form SubmittedFilter: Form is "Onboarding Checklist Opt-in"Starts the workflow only for this lead magnet
2Action: Add Contact Taglm-onboarding-checklistSegmentation and reporting
3Action: Send EmailDelivery email with trigger link to the filePuts the asset in the inbox
4Action: Send SMS (optional)Only if SMS consent was givenFast confirmation on mobile
5Action: Create/Update Opportunity (optional)Pipeline "Leads", stage "Lead magnet"Visibility for sales follow-up
6Wait, then nurture emailsDay 1, Day 3, Day 6Move the reader towards a booked call
7Goal EventAppointment bookedStops nurture once the call is booked

HighLevel's own Form Submitted trigger documentation confirms you can run it on any form or filter it to one specific form. Always filter to the specific form, or every enquiry on the account will receive your checklist.

Writing the delivery email

Keep it short, with a subject line such as "Your onboarding checklist is here".

  • Open with the person's first name and one line confirming what they requested.
  • Use a single, obvious button or link to the file.
  • Sign off as a real person, with your business name and contact details in the footer.

Ask the reader to reply "Got it"; replies are a positive engagement signal for future inbox placement.

The optional SMS

A brief text confirming the email is on its way reassures people. Use an If/Else branch on your consent field so only consenting contacts receive it, and include opt-out wording.

Add a short nurture sequence after lead magnet delivery

The real return comes from three or four follow-up emails that help people use the resource, then invite them to talk.

  • Day 1: "The one step on the checklist most people skip", with a short story or example.
  • Day 3: A common mistake and how to fix it, linking back to the resource.
  • Day 6: A clear invitation to book a call, with your booking link.

Add a Goal Event for "Appointment booked" so anyone who books exits the nurture immediately. For deeper sequence design, our article on building GoHighLevel drip campaigns for nurture covers timing, wait steps and branching.

Deliverability basics for lead magnet emails

Your delivery workflow is only as good as your inbox placement. Before you launch, send from a dedicated sending domain (a subdomain such as mail.yourbusiness.com.au is common) using LC Email or Mailgun.

HighLevel shows you the DNS records to add during domain setup. You will typically add SPF and DKIM records plus a DMARC policy, starting DMARC at p=none while you monitor and tightening it once everything passes.

The full process, including Mailgun specifics, is in our guide to GoHighLevel email deliverability and Mailgun setup. Do not launch paid traffic to an opt-in until authentication is verified; a spike of sends from an unauthenticated domain is a quick way to damage your reputation.

Should you use double opt-in?

Double opt-in means the first email asks the contact to confirm before you deliver the asset. In HighLevel you can build it with a confirmation email containing a trigger link, then deliver the file in a second workflow triggered by that click.

It gives a cleaner list and stronger proof of consent, but adds friction. Many businesses choose single opt-in plus regular removal of contacts who never open.

If you send commercial email or SMS to Australians, the Spam Act 2003 applies. ACMA describes three core rules for every commercial electronic message.

  • Consent: express (such as a ticked box) or, in limited cases, inferred. The burden of proving consent sits with the sender.
  • Identify: clearly identify the business sending the message and include accurate contact details.
  • Unsubscribe: include a functional, free unsubscribe option in every message and honour requests promptly.

In HighLevel, store consent in a custom field and make sure your email footer includes your business name, contact details and unsubscribe link. This is general information, not legal advice, so verify the current requirements directly with ACMA before you launch.

Test the lead magnet workflow before going live

Run end-to-end tests using inboxes you control, ideally Gmail, Outlook and a company domain.

  • Submit the form on desktop and mobile, and confirm the redirect and download button work.
  • Check the delivery email arrives, the trigger link opens the right file and the click tag is applied.
  • Confirm the SMS only sends when consent is ticked.
  • Book a test appointment and confirm the contact exits the nurture.
  • Click unsubscribe and check the contact's email status updates.

Common mistakes to avoid

  • Leaving the Form Submitted trigger unfiltered, so every form on the account fires the delivery email.
  • Attaching the PDF to the email instead of linking to it from the Media Library.
  • Pasting a raw file URL and losing all download tracking that a trigger link would give you.
  • Sending from an unauthenticated or shared domain without SPF, DKIM and DMARC in place.
  • Pre-ticking the consent box or burying sender details, which undermines Spam Act compliance.
  • Stopping at delivery, with no nurture and no clear invitation to book a call.

Frequently asked questions

What trigger should I use for a GoHighLevel lead magnet delivery workflow?

Use the Form Submitted trigger and filter it to the specific opt-in form for that lead magnet. This ensures only people who requested that resource receive it. If you run several lead magnets, build one delivery workflow per form.

Should I attach the PDF or send a link?

Send a link. Upload the PDF to the Media Library and link to it, ideally through a trigger link so you can see who clicked. Attachments make emails heavier, are more likely to be filtered and give you no download data.

Can people download the file straight from the thank-you page?

Yes. In the funnel builder you can add the Download File action to a button, image or SVG on the thank-you page. Many businesses combine this with a backup email so the person has a copy in their inbox.

How do I know who actually downloaded my lead magnet?

Create a trigger link pointing at the file and use it in your delivery email. A second workflow using the Trigger Link Clicked trigger can then add a "downloaded" tag. That gives you a clear split between opt-ins and real engagement.

Do I need double opt-in in Australia?

The Spam Act 2003 requires consent, sender identification and a working unsubscribe, rather than a specific double opt-in process. Double opt-in can strengthen your proof of consent and list quality, but it adds friction. Check current requirements with ACMA and choose what suits your audience.

Why are my lead magnet emails going to spam?

The most common causes are an unauthenticated sending domain, missing SPF, DKIM or DMARC records, and heavy or attachment-laden emails. Set up a dedicated sending domain through LC Email or Mailgun, keep the email short and link-based, and encourage replies.

How long should the nurture sequence be after delivery?

Three or four emails over roughly ten days is a practical starting point for most service businesses. Each email should help the reader use the resource, with a clear invitation to book a call by the third email. Add a Goal Event so anyone who books exits automatically.
