A GoHighLevel Formidable Forms integration turns every submission on your WordPress site into a HighLevel contact that can trigger follow-up within seconds. If you run Formidable Forms by Strategy11 and your leads still land in an inbox, someone is copying and pasting, and someone is slow.

In this guide I compare three ways to connect Formidable Forms to HighLevel, walk through the webhook method step by step, and lay out what each option costs in 2026. It's the same approach I use when tidying up client builds across Australia.

Why connect Formidable Forms to HighLevel instead of relying on email alerts

Formidable is a powerful form builder. Calculators, multi-page quote forms and conditional logic are where it shines, which is why many service businesses keep it after moving to HighLevel.

The problem is what happens after someone clicks submit. An email notification sits in an inbox, gets forwarded, and maybe gets typed into the CRM the next morning. By then the lead has often filled in two competitor forms as well.

Connecting the two systems fixes three things at once:

  • Speed: a HighLevel workflow can send an SMS or email the moment the form arrives.
  • Data quality: fields map straight into standard and custom fields with no retyping.
  • Attribution: source, campaign and landing page travel with the contact, so you know which ads and pages actually produce leads.

If you've already done this for another plugin, the logic is nearly identical to our WPForms to GoHighLevel integration guide. Formidable just has its own add-ons and pricing tiers to work through.

Three ways to connect Formidable Forms to HighLevel

There is no single right answer. The best method depends on which Formidable tier you hold, how complex your forms are, and whether you'd rather pay per task or per plugin licence.

MethodHow it worksBest forWatch-outs
1. Formidable webhook / API add-on to GHL inbound webhookFormidable posts submission data to a HighLevel workflow's Inbound Webhook trigger, then a Create/Update Contact action saves itAgencies and businesses wanting a direct, real-time link with no middlemanNeeds the Formidable tier that includes webhooks/API; the inbound webhook is a premium trigger that may carry usage charges
2. Zapier or MakeFormidable's Zapier add-on (or a Make scenario) sends entries to the LeadConnector app, which creates or updates the contactTeams already paying for Zapier or Make, or who need to send data to several appsEvery run consumes tasks or operations; one more system to monitor
3. Replace or embed a native GHL formBuild the form in HighLevel and embed it on the WordPress page in place of the Formidable formSimple lead forms where Formidable's advanced features aren't neededYou lose Formidable calculators and complex logic; styling has to be redone

For a straightforward contact or enquiry form, method 3 is often the cleanest. Native HighLevel forms fire the Form Submitted trigger directly and capture attribution on their own, which is why I walk through that trigger in detail in our guide to the GoHighLevel Form Submitted trigger.

When the form is doing real work, though — a pricing calculator, a booking qualifier, a long intake form — keep Formidable and pipe the data across. That's where method 1 earns its keep.

Don't rebuild a form that's already converting. Connect it, measure it, and only replace it when HighLevel can genuinely do the job better.

Step-by-step: setting up the GoHighLevel Formidable Forms integration with webhooks

This is the method I recommend for most clients who are keeping Formidable. It's direct, it's fast, and once it's built it rarely breaks. If inbound webhooks are new to you, our explainer on GoHighLevel inbound and outbound webhooks covers the concepts in more depth.

Step 1: Create the workflow and copy the webhook URL

In the HighLevel sub-account, create a new workflow and choose the Inbound Webhook trigger. HighLevel generates a unique URL for that trigger. Copy it and keep the workflow in draft for now.

Step 2: Add the webhook action in Formidable

In WordPress, open the form's settings and add a webhook or API action using Formidable's add-on (the exact name depends on your Formidable version). Paste the HighLevel URL as the destination, set the method to POST and send the data as JSON.

Give each field a clear key such as first_name, email, phone and service_interest. Clean, consistent keys make mapping far easier and save you headaches when you copy the setup to another form.

Step 3: Send a test submission

Fill in the live form yourself with realistic test data. Back in the workflow, fetch the sample request so HighLevel can see the incoming fields. If nothing appears, check the URL, the form action's conditions and any caching or security plugin on the site.

Step 4: Map fields with Create/Update Contact

Add a Create/Update Contact action and map the incoming values to standard fields: first name, last name, email and phone. HighLevel matches on email or phone, so returning visitors update their existing record instead of creating duplicates.

Step 5: Map the extras to custom fields

Anything beyond the basics — budget, service type, suburb, calculator results — belongs in custom fields. Create those fields before you map them, and pick the right field type so you can filter on them later.

If you're not sure whether a value should be a tag or a field, read our breakdown of when to use tags vs custom fields in GoHighLevel. The short version: tags for segments and triggers, fields for data.

Step 6: Tag the source

Add a tag such as source-formidable-quote-form in the same workflow. That tag lets you build smart lists, report per form and start other workflows.

Step 7: Capture attribution and UTMs as hidden fields

Add hidden fields to the Formidable form for utm_source, utm_medium, utm_campaign, utm_term, utm_content and the landing page URL. Formidable can populate hidden fields from URL parameters, so the values ride along with each submission.

Include those keys in the webhook payload and map them to matching custom fields in HighLevel. Without this step, every webhook lead looks like it came from nowhere, and your ad reporting quietly falls apart.

Step 8: Publish and run a second test

Publish the workflow, submit the form again from a different email address, and confirm the contact, custom fields, tag and attribution values all appear correctly.

What to automate after Formidable Forms feeds HighLevel

Getting the contact into HighLevel is only half the job. The value comes from what the workflow does next, ideally in the same workflow or one triggered by your source tag.

  • Speed-to-lead SMS: send a short, personal text within a minute, using the first name and the service they asked about. Respect business hours and consent rules for your market.
  • Pipeline opportunity: create an opportunity in the right pipeline and stage, with the value pulled from a budget or calculator field where it makes sense.
  • Internal notification: alert the assigned team member by SMS, email or in-app notification with the key details, so nobody has to go hunting in WordPress.

What the GoHighLevel Formidable Forms integration costs in 2026

The cost has three moving parts: your Formidable licence, your HighLevel plan, and any connector or usage charges.

Formidable Forms licence

Formidable Forms Lite is free on WordPress.org, but webhook and API features sit in the paid plans: Basic, Plus, Business and Elite. Third-party coupon listings (September 2026) show first-year promotional prices of US$39.50, $99.50, $199.50 and $299.50 per year respectively, with renewal at full price.

One 2026 listing places the webhooks capability with the Elite tier. Tiers and inclusions change, so check Formidable's pricing page to confirm which tier includes webhooks and the API at the time you buy.

HighLevel plan and usage

HighLevel plan (2026 list price)Monthly costNotes
StarterUS$97/monthSuits a single business connecting its own site
UnlimitedUS$297/monthSuits agencies running many sub-accounts
Agency Pro / SaaS ProUS$497/monthTop tier, for agencies reselling HighLevel

Usage-based SMS, email and AI are billed on top of the plan.

The inbound webhook is a premium workflow trigger, and premium triggers and actions may carry usage charges depending on how your account is set up. Check your account's billing settings or the HighLevel help centre before you route high volumes through it.

Zapier or Make

If you choose method 2, you'll pay for Zapier tasks or Make operations on top of everything else. Low-volume forms often fit a small plan, but multi-step zaps and busy forms burn through allowances quickly, so check the current pricing for your expected volume.

Common mistakes to avoid

  • Buying a Formidable tier without confirming it includes webhooks or the API you need.
  • Skipping the sample request, then mapping fields blind and wondering why values are empty.
  • Dumping extra answers into the contact notes instead of proper custom fields you can filter on.
  • Forgetting hidden UTM fields, so every lead shows up with no source or campaign.
  • Leaving test contacts in the account, which inflates lead counts and pipeline reports.
  • Ignoring usage billing on SMS and premium triggers until the first invoice arrives.

Frequently asked questions

Can I connect Formidable Forms to HighLevel without Zapier?

Yes. Use Formidable's webhook or API add-on to post submissions to a HighLevel workflow that starts with the Inbound Webhook trigger, then save the data with a Create/Update Contact action. This avoids paying for Zapier tasks, but you need a Formidable tier that includes webhooks.

Which Formidable Forms plan includes webhooks?

Formidable's paid plans are Basic, Plus, Business and Elite, and one 2026 listing places webhooks with the Elite tier. Inclusions change over time, so check Formidable's pricing page to confirm which tier includes webhooks and the API before you buy.

Does the free Formidable Forms Lite version work with GoHighLevel?

Formidable Forms Lite is free on WordPress.org, but it does not give you the webhook or API features needed for a direct connection. With Lite, your realistic options are a paid connector or replacing the form with an embedded native HighLevel form.

Will Formidable Forms submissions create duplicate contacts in HighLevel?

Not if you use the Create/Update Contact action and map email and phone correctly. HighLevel matches returning leads on those fields and updates the existing record. Duplicates usually come from mapping errors or test entries that were never cleaned up.

How do I track UTMs from Formidable Forms in HighLevel?

Add hidden fields to the Formidable form for each UTM parameter and the landing page URL, and let Formidable fill them from the URL. Include those keys in the webhook payload and map them to matching custom fields in HighLevel so attribution stays with the contact.

Does the inbound webhook trigger cost extra in HighLevel?

The inbound webhook is a premium workflow trigger, and premium triggers may carry usage charges depending on your account. Check your account's billing settings or the HighLevel help centre for current details before sending high volumes through it.

Should I replace Formidable Forms with a native GoHighLevel form?

For simple enquiry forms, a native HighLevel form is often the cleaner choice because it fires the Form Submitted trigger directly. For calculators, complex conditional logic or long intake forms, keep Formidable and connect it with a webhook instead.
