A GoHighLevel Cognito Forms integration sends every Cognito submission straight into HighLevel as a contact, so follow-up starts in seconds rather than whenever someone checks the shared inbox. Cognito is a favourite with councils, clinics, trades and not-for-profits because its calculations, repeating sections and payment fields handle complex intake well.
This guide covers the ways to connect Cognito Forms to HighLevel, a full build using the Inbound Webhook trigger, how to map Cognito's nested fields, and what the whole stack costs in 2026. It follows the same pattern I use on client accounts here in Australia.

Why connect Cognito Forms to HighLevel instead of exporting entries
Cognito keeps every submission in its own Entries view. That's handy for admin staff, but entries sitting in a form tool can't send a text, book an appointment or move a deal through a pipeline.
Most of the Cognito accounts I inherit have the same workaround: an email notification, a weekly CSV export, and someone retyping details into the CRM. Every manual step adds hours to your response time and introduces typos into phone numbers and emails.
A proper connection gives you:
- Instant follow-up: the HighLevel workflow fires the moment Cognito posts the entry.
- Structured data: calculated totals, selected services and intake answers land in custom fields you can filter and report on.
- One timeline: the submission, the SMS replies, the booking and the invoice all live on the same contact record.
If you've seen how we handle other hosted builders, the approach mirrors our Jotform to GoHighLevel setup guide. Cognito simply has its own webhook settings, payload shape and plan limits.
Three ways to connect Cognito Forms to HighLevel
Cognito's support documentation lists three integration routes: its own JSON webhooks, its REST API, and third-party automation platforms. For a HighLevel build, those become three practical options.
| Method | How it works | Best for | Watch-outs |
|---|---|---|---|
| 1. Cognito Post JSON to GHL Inbound Webhook | Cognito posts each new entry as JSON to a HighLevel workflow URL; a Create/Update Contact action saves it | Most businesses keeping Cognito who want a direct, real-time link | Needs a paid Cognito plan; each run is a premium HighLevel execution |
| 2. Zapier, Make or Power Automate | A "new entry" trigger in the automation tool sends data to the LeadConnector (HighLevel) app | Teams that also push entries to SharePoint, Sheets or accounting tools | Extra subscription, task or operation limits, and another system to monitor |
| 3. Replace with a native HighLevel form | Rebuild the form in HighLevel and embed it where the Cognito form was | Simple enquiry or callback forms | You lose Cognito calculations, repeating sections and document merging |
For a basic "name, email, phone, message" form, option 3 is usually the tidiest. Native forms fire the Form Submitted trigger and capture attribution automatically, which I unpack in our walkthrough of the GoHighLevel Form Submitted trigger.
Where Cognito is doing heavy lifting, such as quote calculators or multi-section intake with signatures, keep Cognito and send the data across with a webhook. That's the build below.
Step-by-step: building the GoHighLevel Cognito Forms integration with a webhook
This method has no middleman and no per-task fees from a third party. If webhooks are new to you, read our primer on setting up inbound and outbound webhooks in GoHighLevel first.
Step 1: Create the workflow and copy the webhook URL
In your HighLevel sub-account, create a new workflow from scratch and choose Inbound Webhook as the trigger. HighLevel generates a unique URL for that trigger. Copy it and leave the workflow in draft.
Step 2: Turn on Post JSON in Cognito
Open the form in Cognito, go to its settings and tick Post JSON Data to a Website. Paste the HighLevel URL into the Submit Entry Endpoint field, which handles new entries; leave the update and delete endpoints empty for now.
Step 3: Submit a test entry
Fill in the live form with realistic test details, then return to the HighLevel trigger and fetch the sample request. You should see every field Cognito sent, plus some form and entry metadata.
Cognito's help docs note that webhooks don't fire when an entry is saved through Save & Resume. Test with a full submission, not a saved draft.
Step 4: Map contact details with Create/Update Contact
Add a Create/Update Contact action. Cognito uses internal field names, and compound fields such as Name or Address can arrive as nested values. Pick the inner keys (for example the first and last name parts) rather than the whole object.
Map email and phone carefully. HighLevel matches existing contacts on email or phone, so a returning client updates their record instead of creating a duplicate.
Step 5: Map the extra answers to custom fields
Calculated quote totals, chosen services, property type or preferred dates belong in custom fields. Create each field in HighLevel first, choosing the right type (number, date, dropdown) so you can filter and build smart lists later.
Unsure whether something should be a tag or a field? Our explainer on choosing between tags and custom fields sets out the rule I use with every client.
Step 6: Tag the source form
Add a tag such as source-cognito-intake in the same workflow. One tag per form keeps reporting clean and lets other workflows start from it.
Step 7: Capture UTMs and the page of origin
Add internal-only Textbox fields to the Cognito form for utm_source, utm_medium, utm_campaign, utm_term and utm_content. Cognito's support FAQ shows how to fill them from the page URL with a short Cognito.prefill script under the embed code.
Because Post JSON sends all entry data, those values travel with the webhook automatically. Map them to matching custom fields in HighLevel, or your ad reports will show a wall of "unknown source".
Step 8: Handle file uploads sensibly
Cognito's documentation says links to uploaded files in the JSON are only valid for a short time, around 30 minutes or less. Don't rely on those links inside HighLevel; keep the documents in Cognito and store a reference to the entry instead.
Step 9: Publish and test again
Publish the workflow, submit one more entry from a different email address, and check the contact, custom fields, tag and UTM values. Then delete both test contacts.
What to automate once Cognito Forms feeds HighLevel
The contact landing in HighLevel is the starting line. The return comes from what the workflow does in the next five minutes.
- Speed-to-lead message: a short SMS or email using their first name and the service they chose, sent within a minute during business hours.
- Opportunity creation: add a pipeline opportunity at the right stage, with the value taken from Cognito's calculated total.
- Booking nudge: send a calendar link and stop the sequence as soon as they book.
- Team alert: notify the assigned staff member with the key answers so nobody needs to log in to Cognito.
Before any marketing follow-up, record consent properly. If your Cognito form includes an opt-in checkbox, map it and respect it; our guide to managing DND and unsubscribes in GoHighLevel covers how to keep that compliant.
What the GoHighLevel Cognito Forms integration costs in 2026
You're paying for three things: the Cognito plan, the HighLevel plan, and per-run usage.
Cognito Forms plans
Cognito's help centre states that integrations, including webhooks, need a Pro, Team or Enterprise plan; the free Individual plan doesn't include them. Here's what Cognito's pricing page listed at the time of writing (USD, 2026).
| Cognito plan | Monthly billing | Billed annually | Users / entries | Webhooks |
|---|---|---|---|---|
| Individual | Free | Free | 1 user / 100 per month | No |
| Pro | US$24/mo | US$19/mo | 2 users / 2,000 per month | Yes |
| Team | US$49/mo | US$39/mo | 5 users / 10,000 per month | Yes |
| Enterprise | US$174/mo | US$129/mo | 20 users / unlimited | Yes |
Third-party listings in 2026 show some variation in Cognito's tier names and prices, so confirm the live page before you upgrade. For most small businesses, Pro is the cheapest plan that unlocks the webhook.
HighLevel plan and usage
| HighLevel plan (2026 list price) | Monthly cost | Suits |
|---|---|---|
| Starter | US$97/month | A single business connecting its own forms |
| Unlimited | US$297/month | Agencies running many client sub-accounts |
| SaaS Pro | US$497/month | Agencies reselling HighLevel |
HighLevel's help centre (2026) classes Inbound Webhook as a premium trigger, billed at a base rate of US$0.01 per execution, with 100 free lifetime premium executions per eligible sub-account. Agencies can rebill that usage with a markup. SMS, email and AI usage are charged on top of the plan.
At 300 Cognito entries a month, that's roughly US$3 in premium executions before any SMS or email costs. Check the HighLevel premium workflow features article for the current rates.
Zapier, Make or Power Automate
If you choose method 2, add the cost of that platform's tasks or operations. Busy forms and multi-step flows use allowances quickly, so price it against your real monthly entry count.

Common mistakes to avoid
- Trying to set up webhooks on the free Individual plan, which doesn't include integrations.
- Mapping a whole Name or Address object into one HighLevel field instead of its individual parts.
- Testing with Save & Resume drafts and assuming the webhook is broken when nothing arrives.
- Storing Cognito file links in HighLevel, then finding they've expired within the hour.
- Skipping the UTM prefill script, so every Cognito lead shows no source or campaign.
- Leaving test entries in both systems, which inflates lead counts and pipeline values.

Frequently asked questions
Can I connect Cognito Forms to HighLevel without Zapier?
Yes. Turn on Post JSON Data to a Website in the Cognito form's settings and paste in the URL from a HighLevel workflow that starts with the Inbound Webhook trigger. A Create/Update Contact action then saves the entry, with no third-party automation tool needed.
Which Cognito Forms plan includes webhooks?
Cognito's help centre says integrations, including JSON webhooks, are available on the Pro, Team and Enterprise plans. The free Individual plan does not include them, so Pro is the entry point for a direct HighLevel connection.
Does Cognito Forms have a Zapier or Make integration?
Yes. Cognito lists Zapier, Make and Microsoft Power Automate as supported automation platforms on its paid plans. Each can send new entries to HighLevel through the LeadConnector app, but you pay for that platform's tasks or operations as well.
Why isn't my Cognito webhook reaching HighLevel?
Check that the full HighLevel URL is in the Submit Entry Endpoint field and that the form settings were saved. Also remember that Cognito doesn't fire webhooks for entries saved with Save & Resume, so test with a completed submission.
How do I map Cognito Name and Address fields in HighLevel?
Cognito can send compound fields like Name and Address as nested values rather than single text strings. In the Create/Update Contact action, choose the individual parts, such as first name, last name, city and postcode, from the sample request.
How much does the Inbound Webhook trigger cost in HighLevel?
HighLevel's help centre (2026) lists Inbound Webhook as a premium trigger at a base rate of US$0.01 per execution, with 100 free lifetime executions per eligible sub-account. Rates can change, so check your account's billing settings before running high volumes.
Can I track UTMs from a Cognito form in HighLevel?
Yes. Add internal Textbox fields for each UTM parameter and use Cognito's prefill script to fill them from the page URL. The values are sent in the JSON payload, and you map them to matching custom fields in HighLevel.
