The GoHighLevel AI Employee bundle is the tidiest pricing decision in the platform and also the one most agencies get wrong, because they buy it before they know their usage numbers. The text-channel responder. Voice AI

Answers inbound calls on a chosen number, speaks to the caller, and can book appointments, transfer to a human, or capture details into custom fields. It is billed by the minute when purchased standalone, which is why it dominates the break-even calculation. Voice is also the module with the most configuration surface: greeting, persona, guardrails, call transfer rules, post-call actions. Reviews AI

Generates replies to Google and Facebook reviews. Two modes: Suggestive, where it drafts and a human clicks send, and Auto, where it replies on its own. For anything in health, legal or financial services in Australia I keep this on Suggestive, because an auto-reply that says "so glad the treatment worked for you" on a public Google listing can create a compliance problem the client did not know they had.

Content AI

Workflow AI Assistant

Builds and edits workflows from a plain-English prompt inside the automation builder. It gets the skeleton right — trigger, wait steps, if/else branches — and gets the details wrong often enough that you still need to know what you are doing. Treat it as a first draft generator, not a builder replacement.

Funnel and Website AI

Generates full pages and funnels from a prompt, or restyles existing sections. Useful for getting a client's landing page off zero. Less useful when you have a brand kit to honour, because it tends to ignore spacing and typographic detail you have set elsewhere.

AI Employee pricing vs per-module usage

Here is the comparison that matters. Standalone rates are the usage prices HighLevel charges when you have not bought the bundle; every one of these becomes flat-rate once AI Employee is active on the sub-account. Rates are in USD because HighLevel bills in USD regardless of where your client sits, and they move occasionally — always confirm against the official HighLevel pricing page before you quote a client.

Two things to note. First, the bundle does not include telephony or SMS carrier costs — those are separate Twilio/LeadConnector charges and they still apply. A Voice AI call on the bundle costs you nothing for the AI and still costs you the per-minute inbound call rate. Working out your break-even

The calculation is simple enough to do on a napkin, and I do it with every client before recommending the bundle.

Voice-led businesses

At roughly $0.14 a minute, $97 buys you about 690 minutes of Voice AI. But average handling time matters more than call count. A plumber's after-hours line averages two and a half minutes a call, so break-even is around 275 calls a month. A cosmetic clinic with a longer qualifying script averages five minutes, so break-even drops to about 140 calls. Pull the last three months of inbound call data from the Reporting tab, take the median, and compare.

Chat-led businesses

At $0.02 per outbound AI message, $97 is about 4,850 messages. A single Conversation AI thread that qualifies and books typically runs six to nine AI messages, so that is roughly 550–800 conversations a month. Very few single-location Australian service businesses hit that on text alone. Chat-only clients almost never justify the per-sub-account bundle.

The realistic answer for most agencies

Individual sub-accounts rarely justify $97 each. The agency-level bundle does, and quickly. Three sub-accounts each burning $60–$80 in usage means $180–$240 a month against a $297 flat fee that also covers every other client you onboard for the rest of the year. How to enable it at agency and sub-account level

Agency level

Log into the agency view and go to Settings → Company Billing → AI Employee. Subscribe there and the entitlement becomes available to push down. Then set your default posture in Settings → SaaS Configurator if you resell — decide whether AI Employee is bundled into your plan price or sold as an add-on, because changing that later means repricing every existing client. Also confirm your rebilling markup under Settings → Company Billing → Rebilling before any sub-account touches an AI feature, otherwise the first month of usage lands on your card at cost.

Sub-account level

Inside the sub-account, go to Settings → AI Agents (previously listed under Conversation AI) to configure the agent itself, and Settings → Company Billing to confirm the AI Employee entitlement is showing as active. Voice AI lives under Settings → AI Agents → Voice AI, where you attach it to a specific phone number. Reviews AI sits in Settings → Reputation → Review AI Settings with the Suggestive/Auto toggle. Content AI needs nothing enabled — it appears in the editors automatically once the entitlement is live.

One sequencing detail people miss: the AI agent will not respect business hours unless the sub-account timezone is correct. Set it in Settings → Business Profile → Timezone to Australia/Sydney, Australia/Brisbane, Australia/Perth or Australia/Adelaide as appropriate. Brisbane and Sydney diverge for half the year and that half-year is exactly when you get complaints about the bot answering at 3am.

A rollout sequence that does not blow up

I use the same five-stage sequence every time, and it takes about three weeks per client.

Week one: Content AI and Suggestive mode only

Turn on Content AI and set Conversation AI to Suggestive. Nothing goes out without a human clicking send. The client gets used to reading AI drafts and correcting them, and every correction is training data for your prompt.

Week two: after-hours Conversation AI on auto

Move Conversation AI to Auto-pilot but only outside business hours, using the bot's own hours settings. Enquiries that arrive at 8pm get an immediate reply instead of waiting until 9am. This is where Australian clients see value fastest, because the failure mode is being compared to silence rather than to a receptionist.

Week three: Voice AI on overflow, then Reviews AI

Point Voice AI at missed calls or an after-hours number first, never at the main line. Once you have listened to twenty recordings and the transfer logic holds, widen the scope. Then enable Reviews AI in Suggestive mode. Auto-reply on reviews is the last thing I turn on, if at all.

Every one of these came from something going wrong on a live account.

Explicit scope limits in the prompt

Write what the agent must not do, not just what it should do. No pricing quotes beyond the published range. No clinical, legal or financial advice. No promises about availability it cannot verify against the calendar. No discussing competitors. A hard handoff trigger

Build a workflow that watches for keywords like "complaint", "refund", "lawyer", "urgent" or "emergency" and immediately removes the AI from the conversation, assigns to a human user and sends an internal notification. Never rely on the AI deciding it is out of its depth.

Message and call caps

Set a maximum number of AI messages per conversation — I use eight. Loops where a bot and an auto-responder talk to each other for two hundred messages are real and, on the bundle, invisible on your bill until someone reads the thread.

A weekly transcript review

Fifteen minutes a week reading actual conversations catches more problems than any dashboard. Filter Conversations by the AI user, read ten threads, adjust the prompt.

Australian considerations

ACMA, A2P registration and consent

The AI does not change your obligations under the Spam Act. Any SMS the agent sends still needs consent and a functional unsubscribe path, and the fact a machine composed it is not a defence. Complete your A2P/toll-free registration and sender ID setup properly before enabling any outbound AI messaging, and keep AI conversations to replies to inbound enquiries wherever possible — that is the cleanest consent position. After-hours enquiry handling

This is the single strongest use case in Australia. A large share of service-business enquiries land between 6pm and 9pm and on Sundays, and the businesses that respond first win them. Configure the agent so its after-hours behaviour is different from its business-hours behaviour: acknowledge the hour, answer what it can, book into the next available slot, and flag anything urgent for a 7am human callback.

Plain-English tone

American default phrasing lands badly here. Strip "reach out", "awesome", "absolutely" and exclamation marks from the prompt and give the agent two or three real examples of how the client's staff actually write. Australian enquirers spot a script immediately and disengage. Short sentences, no upselling, no manufactured enthusiasm.

Numbers, spelling and currency

Instruct the agent to use Australian spelling, 24-hour or am/pm local time with the state named, and AUD with the symbol. Left alone it will offer a Tuesday appointment in US Central time and quote in dollars the client will assume are Australian.

Common mistakes to avoid

  • Buying the per-sub-account bundle for clients with low volume. Run the usage numbers first; a client on twenty enquiries a month is cheaper on metered usage and you look better for saying so.
  • Skipping the agency-level bundle once you have four or more AI-active sub-accounts. You are paying more for less predictability and losing the rebilling margin.
  • Enabling Auto-pilot on day one. Suggestive mode for a fortnight is not caution, it is how you build a prompt that works.
  • Leaving the sub-account timezone on the HighLevel default. Business-hours logic, appointment offers and after-hours rules all break silently.
  • Turning on Reviews AI in Auto mode for regulated industries. A public auto-reply referencing a health outcome or a financial result is a compliance issue, not a customer-service win.
  • Assuming the bundle covers telephony. Call and SMS carrier charges continue as normal, and clients who were told "it is all included" will query the invoice.
