The promise: an AI bot that answers leads within seconds, around the clock, across SMS, social messaging and web chat, and books appointments without a human touching the conversation. Suggestive mode drafts a reply for every incoming message but never sends it. A human reviews the suggestion in the Conversations tab and sends, edits or discards it. I insist on this mode for the first week or two of any deployment, because it shows you exactly how the bot would have responded, risk-free.

Auto-pilot mode sends replies automatically with no human review. You can configure a reply delay (I set 30 to 90 seconds so responses feel human) and a maximum number of messages before the bot stops and hands over. Auto-pilot is where the leverage is, but you graduate to it — you do not start there.

Step-by-step setup: enabling, training and launching the bot

Step 1: Enable Conversation AI in the sub-account

In the sub-account, go to Settings and open the Conversation AI section (on some plans you first enable it from the agency view under AI features and confirm the billing model — more below). Toggle it on, but leave the mode on Suggestive or Off while you complete training; an untrained bot answering live messages is the most common setup mistake I see.

Step 2: Train the bot

Training happens in two layers. First, URL crawling: point the bot at your website pages — services, pricing, FAQs — and let it crawl and index the content. You can crawl a full domain or individual URLs; be selective, because feeding it your entire blog introduces noise. Second, Q&A pairs: manually add the questions your team actually gets, with the exact answers you want given. Q&A entries take priority in practice and control wording on sensitive topics like pricing, refunds and guarantees. Ten to twenty well-written pairs beat a hundred crawled pages.

Step 3: Set the bot goal and personality

Conversation AI works from intents, or bot goals. The flagship objective is appointment booking: connect a specific calendar and the bot steers every conversation toward offering times and confirming a booking, written directly into that calendar. You also set the bot's name, personality prompt and business information here. Keep the prompt tight and factual — the business, the tone (I write "professional, warm, Australian English, no exclamation marks" more often than you would think), and the one thing the bot should drive toward.

Step 4: Connect channels and go live

Choose which channels the bot responds on. SMS requires a working phone integration — LeadConnector Phone or your own Twilio account — while Facebook and Instagram need those integrations connected at sub-account level, and the chat widget must be installed on your site. Run a week in Suggestive mode, review every drafted reply, patch gaps with new Q&A pairs, then flip trusted channels to Auto-pilot. Make sure a human handover path exists: the bot stops after its message limit and your team gets notified.

Using Conversation AI inside Workflows

The settings-level bot is account-wide, but the real precision comes from the "Conversation AI" action inside Workflows, which is a premium workflow action. Instead of one global bot behaviour, you can trigger a specific bot with a specific objective at a specific moment in a customer journey.

A typical build: a trigger fires (Facebook lead form submitted, or a "Customer Replied" trigger on an SMS campaign), the workflow adds a tag like ai-handling, then the Conversation AI action takes over with an appointment-booking objective pointed at the right calendar. You branch on the outcome — if the bot books, the workflow moves the opportunity to a "Booked" pipeline stage and writes captured details into custom fields; if it fails or the contact asks for a human, your team gets an internal notification and a needs-human tag is applied.

Because it is workflow-native, you can also fence the bot properly: end the AI step when someone books or unsubscribes, and suppress it entirely for existing clients by filtering on tags or pipeline stage. The US-style A2P 10DLC registration regime does not apply here, but ACMA rules and the Spam Act 2003 absolutely do: you need consent (express or clearly inferred) before sending commercial messages, every thread must identify your business, and you must honour opt-outs — keep "reply STOP" handling active and never let the bot message a contact with DND enabled.   • Crawling the entire website indiscriminately. Old blog posts and outdated promo pages poison the training data — crawl selectively and rely on Q&A pairs for anything sensitive.
