GoHighLevel vs Capsule CRM: Features & True Cost (2026)

The GoHighLevel vs Capsule CRM decision comes down to one question: do you want a tidy contact database that plays nicely with Xero, or a full marketing and sales system in one login? Capsule is the simpler, cheaper tool for a small team that only needs contacts, a pipeline and accounting integration. GoHighLevel costs more at the low end, but it replaces the four or five extra subscriptions Capsule users end up bolting on for SMS, email marketing, funnels, booking and automation. At the time of writing, a single-user Capsule Growth seat is around US$36 a month, while GoHighLevel Starter is US$97 flat for unlimited users.
I run GoHighLevel builds for Australian businesses every week, and a fair number of them arrive from Capsule. Some should have stayed. Others were paying for Capsule plus Mailchimp plus a booking tool plus a texting app and still had no idea which lead came from where. This comparison covers features, true cost for one, three and eight users, who suits which platform, and how a migration actually works.
GoHighLevel vs Capsule CRM at a glance
Capsule CRM is UK-built and deliberately minimal. It is popular in Australia with small businesses and, notably, with their bookkeepers and accountants, because the Xero and QuickBooks integrations are clean and the interface does not overwhelm a non-technical owner. Plans at the time of writing are Free (2 users, 250 contacts), Starter at about US$18 per user per month, Growth at about US$36, Advanced at about US$54 and Ultimate at about US$72, all on annual billing. You can confirm current figures on the Capsule pricing page.
GoHighLevel is a different category of product. It is a CRM, but it is also a Workflow automation engine, a funnel and website builder, a calendar system, two-way SMS and email, Conversation AI and Voice AI agents, Reputation Management, Payments and, on the Pro plan, SaaS Mode for reselling the platform under your own brand. Pricing is flat rather than per user: US$97 Starter, US$297 Unlimited and US$497 Pro, with usage fees on top for SMS via LeadConnector, email via Mailgun and AI features. Current pricing is on the GoHighLevel pricing page.

How the true cost figures were built
Sticker price is not the number that matters. What matters is what you pay once the business actually runs. I have used the Capsule Growth plan because that is the first tier with Workflow automation, and most teams that care enough to compare it with GoHighLevel need at least that. On the Capsule side I have added a typical stack: Transpond or Mailchimp for email broadcasts (around US$15 to US$30), a booking tool like Calendly (US$10 to US$16 per user) and a basic SMS tool (US$20 to US$50). On the GoHighLevel side I have added usage: for a small Australian business sending a few hundred SMS and a few thousand emails a month, that is typically US$20 to US$40, and more if you run Conversation AI or Voice AI heavily. All figures are converted at roughly 1.50 AUD per USD and will move with the exchange rate, so treat them as a guide rather than a quote.
The pattern is clear. At one user, Capsule with a light stack is cheaper. At three users the two are roughly level, and GoHighLevel is giving you far more. At eight users, GoHighLevel Unlimited is about the same as Capsule Growth alone, before Capsule's add-ons, and GoHighLevel's price does not move when you hire the ninth person.
Where Capsule CRM wins
Simplicity and the accounting connection
Capsule's contact record is one of the cleanest I have used. A sole trader or a three-person consultancy can be set up in an afternoon without any help. The Xero integration shows invoices and payment status against the contact, which is genuinely useful for a bookkeeper who lives in Xero and only visits the CRM to check who owes what. If you are weighing this up, my guide to the GoHighLevel Xero integration is honest about the fact that GoHighLevel needs a middleware layer to match what Capsule does natively.
Low commitment
The free plan is real, not a teaser. Two users and 250 contacts is enough for a new business to run properly for months. GoHighLevel has no equivalent, and Starter at US$97 is a meaningful monthly commitment for someone still validating their offer.
Google Workspace and Outlook fit
Capsule sits neatly beside Gmail or Outlook with its add-ins and calendar sync. If your sales process is mostly email and phone calls you make yourself, it does not need to be more than that.
Where GoHighLevel wins
Everything in one system
The moment a Capsule user asks "can I text this lead automatically when they book?" the answer involves three products and a Zapier account. In GoHighLevel it is one Workflow: appointment booked trigger, wait, send SMS, send email, add tag, move pipeline stage. The lead's replies land in the same conversation view as their emails and Facebook messages. That unified inbox is the single biggest reason clients tell me they will not go back.
Automation depth
Capsule's Workflow automation on Growth and above handles basic task creation and stage triggers. GoHighLevel Workflows include if/else branches, goal events, webhooks, AI decision steps and appointment-based logic. Nurture sequences, no-show recovery, review requests through Reputation Management and re-engagement of cold pipeline opportunities are all standard builds. I covered a similar gap in my GoHighLevel vs Dubsado comparison, and Capsule's ceiling is lower still.
AI agents and calendars
Conversation AI can answer inbound SMS and web chat, qualify and book appointments into a GoHighLevel calendar without a human touching it. Voice AI does the same on the phone. Capsule has no equivalent at the time of writing and is unlikely to build one, because it is not that kind of product.
Flat pricing and agency options
Unlimited users on every plan changes the maths for growing teams. If you are an agency or consultant, SaaS Mode on Pro lets you spin up sub-accounts from a snapshot and resell the platform, which is a business model, not just a feature.
Who should choose which
Choose Capsule CRM if
- You have one to three users and a relationship-driven sales process built on email and phone.
- Xero or QuickBooks visibility inside the contact record matters more than marketing automation.
- You do not need SMS, funnels, booking pages or AI agents, and you are happy running email newsletters in a separate tool.
- Your bookkeeper or accountant already uses Capsule with other clients and will help you keep it tidy.
Choose GoHighLevel if
- Leads come from ads, website forms or social and need a fast, automated first response.
- You want booking, follow-up, reviews and payments in the same system as the pipeline.
- You have or expect four or more users, where per-seat pricing starts to sting.
- You are an agency, coach or consultant who wants to white-label the platform for clients.
If you are a project-heavy business rather than a lead-heavy one, it is also worth reading my GoHighLevel vs Monday.com breakdown, because some Capsule shoppers are really looking for work management and neither tool is ideal for that.
Migrating from Capsule to GoHighLevel
The good news is that Capsule exports cleanly. The less good news is that "cleanly" still means a few hours of mapping if you want the result to be usable rather than merely present. Here is the process I follow.
Step 1: Export from Capsule
Capsule lets you export People, Organisations and Opportunities to CSV from the account settings. Export each separately. Notes and email history do not come through in a way GoHighLevel can import as timeline entries, so decide in advance whether to keep a read-only Capsule account for a few months or paste key notes into contact records manually for your top accounts.
Step 2: Map fields before importing
GoHighLevel's standard contact fields cover name, email, phone, address, company and source. Anything else in Capsule, such as industry, referral partner or lead value, needs a custom field created first. Build those before you touch the import screen, otherwise you will be re-importing. My GoHighLevel custom fields guide walks through naming conventions and field types so the data stays usable in Workflows later.
Step 3: Rebuild pipelines and stages
Capsule opportunities live in a single pipeline with milestones. In GoHighLevel, create the pipeline and stages first, then import the Opportunities CSV mapping milestone to stage and value to opportunity value. Take the chance to prune stages nobody actually uses.
Step 4: Convert Capsule tags and lists
Capsule tags map directly to GoHighLevel tags and can be included as a column in the import. Capsule lists and saved filters do not migrate; recreate the important ones as Smart Lists after the contacts are in. Phone numbers must be in E.164 format, so +61 rather than 04, or LeadConnector SMS will not send to them.
Step 5: Reconnect email and calendar
Connect Google Workspace or Outlook to each user in GoHighLevel, set up calendars, and only then switch off Capsule's sync so you do not get duplicate calendar events during the changeover. For a fuller checklist including deduplication and Xero considerations, follow the GoHighLevel CRM migration guide.
A simple decision framework
When a client asks me HighLevel vs Capsule, I ask four questions in order and stop at the first clear answer.
- Do leads need an automated reply within minutes? If yes, GoHighLevel. Capsule cannot do it natively and the bolt-ons cost more than the difference.
- Is accounting visibility the main reason you want a CRM? If yes, Capsule, unless something above already ruled it in favour of GoHighLevel.
- Will you have four or more users within a year? If yes, GoHighLevel's flat price wins on cost alone.
- Do you have someone to own the build? GoHighLevel rewards a proper setup and punishes a half-finished one. If nobody on the team will own it and you will not bring in help, Capsule's simplicity is the safer choice.
Common mistakes to avoid
- Comparing Capsule's per-seat price against GoHighLevel's flat price without adding Capsule's email, SMS and booking add-ons.
- Importing contacts into GoHighLevel before creating custom fields and pipelines, then having to re-import.
- Assuming Capsule notes and email history will migrate; plan for them not to.
- Leaving phone numbers in local 04 format, which breaks SMS and Voice AI.
- Buying GoHighLevel Unlimited or Pro for a single-location business that only needs Starter.
- Choosing GoHighLevel and then never building Workflows, which leaves you paying more for a CRM that behaves like Capsule.

Frequently asked questions
Is GoHighLevel vs Capsule CRM really a fair comparison when the prices are so different?
It is fair once you compare total stacks rather than sticker prices. Capsule at US$36 per user plus email marketing, booking and SMS tools lands close to GoHighLevel Starter for one user, and above it for three or more users. If you genuinely need none of those extras, Capsule is cheaper and the comparison favours it.
Does GoHighLevel integrate with Xero like Capsule does?
Not natively at the time of writing. GoHighLevel connects to Xero through Zapier, Make or a custom API build, which adds a small monthly cost and some setup work. Capsule's Xero integration is built in and shows invoices against contacts out of the box.
Can I import my Capsule data into GoHighLevel?
Yes. Export People, Organisations and Opportunities as CSV files from Capsule, create matching custom fields and pipeline stages in GoHighLevel, then import with tags included as a column. Notes and email history do not import as timeline entries, so archive them separately.
Which is better for a solo consultant in Australia?
If your work comes from referrals and you mainly need contacts, a pipeline and Xero visibility, Capsule is the simpler and cheaper choice. If you run ads, need booking pages and want automated follow-up, GoHighLevel Starter is worth the extra cost from day one.
Does Capsule have SMS or AI chat features?
No native SMS, calling or AI chat agents at the time of writing. You can connect third-party tools, but they sit outside the Capsule inbox. GoHighLevel includes two-way SMS through LeadConnector, Conversation AI and Voice AI with usage-based fees.
