GoHighLevel vs Freshsales: CRM & True Cost (2026)

By Dr Priya Jaganathan, GoHighLevel Certified Admin · HL Growth Partner, Australia · Updated 3 September 2026 · 8 min read

The short answer on GoHighLevel vs Freshsales: Freshsales is the better pure sales CRM for a small team that lives in a pipeline all day and already uses Freshdesk, while GoHighLevel is the better choice when you need the CRM plus funnels, calendars, SMS, email marketing and AI agents in one flat-priced platform. For a five-user Australian business, the licence cost looks cheaper on Freshsales, but once you add the email marketing, booking and SMS tools it does not include, the twelve-month figures land within a few hundred dollars of each other.

I have migrated sales teams in both directions over the last few years, so this is not a fan piece. Below I walk through what Freshsales actually is, where each platform wins, a true-cost model in Australian dollars, how the automation and AI compare, and what to watch for if you move. Prices are quoted as published on the official pricing pages at the time of writing, converted at roughly 1.5 AUD to 1 USD, and you should confirm them before you sign anything.

What is Freshsales?

Freshsales is the sales CRM inside the Freshworks suite, the same company behind Freshdesk (support), Freshservice (IT) and Freshchat. It was built for inside-sales teams: a contact and account database, deal pipelines with a clean Kanban board, built-in telephony via Freshcaller, email sync with sequences, and Freddy AI for lead scoring and deal insights. It is priced per user per month, with three main tiers: Growth at around USD 9 per user, Pro at around USD 39 per user and Enterprise at around USD 59 per user on annual billing. There is also a free tier for up to three users.

What Freshsales does well

The pipeline UX is genuinely good. Reps can drag deals between stages, see activity timelines, log calls without leaving the record and work from a mobile app that does not feel like an afterthought. If your business already runs support on Freshdesk, the shared contact record and single billing relationship are a real convenience. And for a team of three to five sales reps who only need a CRM, USD 9 to 39 per seat is hard to argue with.

What Freshsales leaves out

Freshsales is a sales tool, not a marketing platform. It does not build landing pages or funnels, it does not host a booking calendar you can send to prospects, its email marketing is limited to sales sequences rather than broadcasts and nurture campaigns, and SMS depends on regional availability or third-party connectors. Freshworks sells a separate Freshmarketer product for the marketing side, which adds another subscription. That gap is where most of the true-cost story lives.

GoHighLevel vs Freshsales: feature comparison

GoHighLevel started as an agency platform and has grown into an all-in-one system: CRM with pipelines and opportunities, Workflows with triggers and actions, funnel and website builder, calendars, two-way SMS and voice through LC Phone (or your own Twilio account), email through LC Email (Mailgun under the hood), Conversation AI and Voice AI, reputation management, memberships and invoicing. It is sold at flat monthly prices with unlimited users, and the agency tiers add sub-accounts, snapshots and SaaS Mode so you can resell the platform.

Pipelines and custom fields

Both platforms handle multiple pipelines, stage probabilities and custom fields. Freshsales has the edge on rep-facing polish: bulk actions, deal rotting indicators and forecasting views feel more mature. GoHighLevel's pipelines are perfectly workable and, importantly, every stage change can fire a Workflow. If you are setting up from scratch, our guide to GoHighLevel pipelines and opportunities shows how to structure stages so automation stays clean.

Calendars, funnels and the marketing layer

This is the widest gap. In GoHighLevel a lead can hit a funnel page, fill a form, get tagged, receive an SMS within seconds, book into a round-robin calendar and land as an opportunity in the right pipeline, all without leaving the platform. On Freshsales you would stitch that together with a page builder, a scheduler and an SMS gateway, then rely on Zapier or Make to move data between them.

True cost in AUD: a five-user Australian business over 12 months

Licence price is the headline, but usage and add-ons decide the real bill. Here is a realistic model for a five-person AU business sending about 2,000 SMS and 20,000 emails a month, using a booking calendar and running monthly nurture campaigns. All conversions use approximately 1.5 AUD per USD.

GoHighLevel stack

The Unlimited plan at USD 297 per month is USD 3,564 a year, or about AUD 5,346. Starter at USD 97 per month works out around AUD 1,746 but limits you to three sub-accounts and drops some features, and SaaS Pro at USD 497 per month is roughly AUD 8,946 and only makes sense for agencies reselling the platform. On top of the licence you pay for usage: SMS in Australia through LC Phone runs in the vicinity of USD 0.05 to 0.06 per outbound segment, so 2,000 messages is roughly USD 110 a month, or about AUD 1,980 a year. Email through LC Email is a fraction of a cent per send, so 20,000 emails a month is about AUD 240 a year. Budget another AUD 50 a month, around AUD 600 a year, for Conversation AI and Voice AI usage if you switch them on. That puts the GoHighLevel Unlimited stack at approximately AUD 8,170 for the year, with no per-seat cost when you hire rep number six. See our breakdown of GoHighLevel pricing plans for what each tier actually includes, and the official GoHighLevel pricing page for current figures.

Freshsales stack

Freshsales Pro for five users is USD 39 x 5 x 12, or USD 2,340, about AUD 3,510. Growth would be about AUD 810 and Enterprise about AUD 5,310, but Pro is the tier most teams land on because Growth strips out sequences, workflows and Freddy scoring. Then add what Freshsales does not do. An email marketing tool for nurture campaigns and broadcasts is typically AUD 60 a month, about AUD 720 a year. A booking tool for five users at roughly USD 12 per seat is about AUD 1,080 a year. An SMS platform with an Australian number is about AUD 40 a month, roughly AUD 480 a year, plus message costs that are broadly comparable to LC Phone at similar volume, so about AUD 1,980. That brings the Freshsales stack to approximately AUD 7,770 for the year. The Freshsales pricing page lists the current per-user rates.

What the numbers actually say

At five seats with a genuine marketing workload the difference is roughly AUD 400 a year in Freshsales' favour, and you are running four tools with three integrations instead of one. At ten seats Freshsales Pro alone becomes about AUD 7,020 before add-ons, while GoHighLevel stays at AUD 5,346. At three seats with no marketing needs, Freshsales Growth at AUD 486 a year is the obvious win and I would tell you so. The crossover point is around six to eight users, or earlier if you send any real volume of nurture email and SMS.

Automation and AI

Workflows versus Freshsales workflows

Freshsales has a workflow engine, but it is scoped to CRM records: update a field, assign an owner, send a sequence email, create a task. GoHighLevel Workflows are event-driven across the whole customer journey. Triggers include form submissions, appointment status changes, inbound SMS, tag added, pipeline stage changed, invoice paid and missed calls. Actions include waits, if/else branches, webhooks, internal notifications, adding to a calendar and calling an AI step. The practical effect is that a missed-call text-back, a no-show reactivation sequence and a review request can all live in the same system as your pipeline.

Conversation AI and Voice AI

GoHighLevel's Conversation AI can answer inbound SMS, web chat and social messages, qualify leads against your training material and book appointments into a calendar. Voice AI does the same on inbound phone calls. Both are usage-billed and both need proper training data, intent design and guardrails, which is why we wrote a full Conversation AI setup guide. Freshsales' Freddy AI is analytical rather than conversational: it scores leads, flags deals at risk and suggests next actions. Useful for a sales manager, but it will not book a meeting for you at 9pm on a Sunday.

SMS compliance in Australia

Whichever platform you choose, Australian SMS is governed by the Spam Act and ACMA rules rather than the US A2P 10DLC registration system. GoHighLevel's A2P prompts are aimed at US numbers; for AU numbers you are dealing with sender ID rules, consent records and opt-out handling. Our comparison of LC Phone vs Twilio costs covers Australian number provisioning and what each option costs per segment.

Who should choose which

Choose Freshsales if

You run a small outbound or inbound sales team whose job is to work deals, not to run marketing. You already use Freshdesk or Freshservice and want one vendor. Your marketing is handled elsewhere by an agency or a separate team, and you are happy for the CRM to stay a CRM. You value a polished rep experience and per-seat pricing that scales down as well as up.

Choose GoHighLevel if

You are a service business, clinic, trades company, coach or consultancy that needs lead capture, follow-up, booking and pipeline in one place. You want AI handling first response. You have more than six users or plan to. Or you are an agency: sub-accounts, snapshots and SaaS Mode setup let you clone a working build for every client and resell it under your own brand, which nothing in the Freshworks catalogue offers.

The honest middle ground

Some businesses run both: Freshsales for a dedicated enterprise sales team, GoHighLevel for marketing and inbound. It works, but it means two contact databases and a sync to maintain. If you go that way, decide which system is the source of truth for contact ownership before you connect them.

Migration notes: moving from Freshsales to GoHighLevel

Freshsales exports contacts, accounts and deals as CSV, and the deals export includes stage, value, expected close and owner. GoHighLevel imports contacts and opportunities via CSV as well, but the mapping is where people get hurt. Create your custom fields and pipeline stages in GoHighLevel first, then map Freshsales stages one to one. Tag every imported record with the source and import date so you can filter or roll back. Notes and activity history do not import cleanly through CSV; for teams that need them, we pull them via the Freshsales API and write them into contact notes. Email sequences must be rebuilt as Workflows, and any Freshcaller numbers need to be ported or replaced with LC Phone numbers with a cutover date agreed in writing. The full checklist is in our GoHighLevel CRM migration guide.

One more practical point when weighing HighLevel vs Freshsales for a migration: run both systems in parallel for two weeks with new leads flowing into GoHighLevel only. That gives your reps a clean comparison and gives you a real answer on whether the pipeline UX gap matters to your team.

Common mistakes to avoid

  • Comparing licence prices only. Freshsales looks cheaper until you price the email marketing, booking and SMS tools you will need alongside it.
  • Choosing GoHighLevel Starter for a growing business, then discovering the sub-account cap and missing features force an upgrade within months.
  • Importing Freshsales deals before pipeline stages and custom fields exist in GoHighLevel, which leaves opportunities in the wrong stage or with data in the notes field.
  • Assuming US A2P registration applies to Australian numbers. It does not, but ACMA consent and opt-out rules do, and they need to be built into your Workflows.
  • Turning on Conversation AI with no training material and no human handover step, then judging the platform on the first bad conversation.
  • Ignoring the per-seat trajectory. If you plan to hire, model Freshsales at your headcount in eighteen months, not today.

Frequently asked questions

Is GoHighLevel vs Freshsales really a fair comparison?

Only partly. Freshsales is a sales CRM and GoHighLevel is an all-in-one marketing and sales platform. The fair comparison is Freshsales plus the email, booking and SMS tools you would add against GoHighLevel on its own, which is how the cost model in this article is built.

Which is cheaper for a small Australian business?

For three or fewer users with no marketing needs, Freshsales Growth is cheaper by a wide margin. For five users with real marketing activity the two stacks land within a few hundred Australian dollars of each other over a year. Beyond six to eight users GoHighLevel's flat pricing is usually cheaper.

Does GoHighLevel have a proper sales pipeline?

Yes. GoHighLevel supports multiple pipelines, custom stages, opportunity values, owners, custom fields and tags, and every stage change can trigger a Workflow. The rep-facing interface is less polished than Freshsales, but it is fully functional for most service businesses.

Can I keep Freshdesk and use GoHighLevel for sales and marketing?

Yes, via webhooks, Zapier or Make. The trade-off is maintaining two contact records. Decide which system owns the contact and push updates one way where possible.

How long does a Freshsales to GoHighLevel migration take?

For a five-user team with one or two pipelines, allow two to three weeks: one week to build fields, pipelines and Workflows, a few days for import and testing, and a parallel-run period before cutover. Larger activity histories that need API extraction add time.
