Job cards, scheduling and timesheets
This is Tradify's home ground. The job card holds site notes, photos, safety checklists, materials and labour, and the scheduler lets an office manager drag jobs between technicians on a calendar. Timesheets are captured on the phone and roll up to payroll-ready reports. GoHighLevel can approximate a job with an opportunity record and custom fields, but it is a workaround, not a job system. Job costing and on-site invoicing
Tradify's Pro and Plus tiers show margin per job as materials and hours are logged, and the tech can raise the invoice from the driveway. GHL has invoices and Stripe payments, usable for deposits and one-line service invoices, but they do not know what a job cost you.
Native Xero sync

Three things stand out. A solo operator pays far less for Tradify. The crossover is around three users, where GHL Starter and Tradify Pro cost about the same while doing completely different jobs. At eight users Tradify is more than double GHL Starter. The Unlimited plan only makes sense if you need more than three sub-accounts or the API, which a single trades business almost never does.

The common pattern is a GHL Workflow, triggered by the opportunity moving to "Quote Accepted", that fires the Webhook action to Make or Zapier, which creates the customer and job in Tradify with name, mobile, address and quote notes mapped from GHL custom fields. Going the other way, a Tradify job status of "Completed" triggers a Zap that adds a "job-complete" tag in GHL, which starts the review request Workflow and moves the pipeline card to "Won". What to keep in one place
Make GHL the system of record for contact details, because that is where the marketing lists live, and let Tradify hold job and financial data. Store the Tradify job number in a GHL custom field so the office can jump between the two without searching.

Export customers from Tradify as CSV, clean the mobile numbers into +61 format, and import into GHL with a "tradify-import" source tag plus tags for trade type and last service date. Recreate open quotes as opportunities in a "Quote Sent" stage so the follow-up Workflow can start chasing them. Job history does not map cleanly; keep read-only access to Tradify for a few months rather than forcing it into custom fields. Pick Tradify if
You are a solo operator or a crew of two or three, work comes mostly from referrals and repeat clients, your biggest headache is quoting and invoicing on site, and your bookkeeper wants a clean Xero feed.
