Long cycles hide stalled deals, so add a Stale Opportunity trigger per stage (3 days in New Enquiry, 14 in Quote Sent, 10 in Contract Sent) that notifies the owner internally rather than messaging the client.
Lead capture and speed-to-lead SMS
Website form and Meta lead ads
Embed a HighLevel form on the site and map fields to custom fields: Build Type, Budget Range, Suburb, Timeframe and Approvals Status. The Form Submitted trigger creates the opportunity and fires the speed-to-lead workflow. For Meta, connect the page under Integrations, map the lead form to the same fields and use the Facebook Lead Form Submitted trigger. Meta leads have lower intent, so the first SMS asks a qualifying question rather than pushing a booking.
Google Business Profile and Hipages
Enable GBP messaging and call tracking through LeadConnector with missed-call text-back inside 30 seconds; this alone recovers two or three site visits a month for a builder on site all day. Hipages and ServiceSeeking referrals arrive as emails; parse them via inbound webhook or Zapier into a contact tagged "Source: Hipages". Qualification questions that filter without offending
Four questions decide whether a site visit is worth two hours of your estimator's time. Put them in a short form linked from the first SMS, with Conversation AI asking them one at a time if the client replies by text instead.
- Budget Range: brackets from Under $80k to $500k plus. Nobody gives an exact figure; brackets get honest answers.
- Timeframe: Ready now, 3 to 6 months, 6 to 12 months, Just researching.
- Approvals Status: No plans yet, Concept drawings, DA or permit lodged, Approved and ready to build.
- Site Address: needed for the visit, and the suburb confirms the job is inside your service radius.
An If/Else workflow reads these fields: Under $80k and Just researching goes into a 6-month nurture; $300k plus and Approved gets a direct booking link and an owner alert.
Site-visit calendar booking with reminders
Create a Site Visit calendar with 90-minute slots, a 30-minute travel buffer and availability limited to the days your estimator does visits. Add the Site Address field to the booking form. The reminder workflow sends an immediate confirmation, a 48-hour reminder listing what to have ready (plans, survey, council correspondence), a 24-hour reminder and a 2-hour SMS with the estimator's name. No-shows roughly halve, and a No-Show status creates a reschedule task.
Preliminary agreement and paid design fee
After the visit, send the preliminary agreement as a Documents & Contracts template with scope, fee and signature block. On signing, a workflow creates an invoice and sends a Text-2-Pay link by SMS; a client can pay a $3,500 design fee from their phone in under a minute. The Invoice Paid trigger moves the opportunity to Design & Costing and notifies your designer. If unpaid at day 5, the rep gets a call task rather than the client getting a fourth reminder.
Quote follow-up over 30 days and beyond
This is where builders leave the most money on the table. A $250k renovation quote is not decided in a week; the client is talking to their bank, their partner and possibly two other builders. Run the sequence for at least 30 days and change tone as it goes.
- Day 0: quote sent; document-viewed alert to the rep.
- Day 2: SMS asking whether they have reviewed it, with a link to book a 20-minute walkthrough call.
- Day 5: email explaining inclusions, exclusions and provisional sums.
- Day 10: call task; SMS the same day if no answer.
- Day 16 and 24: case study of a similar build, then an SMS about upcoming construction slots.
- Day 32: "Is this still on the cards?" email with three reply options: yes, later, no.
- Day 45 onward: monthly check-in until they reply, then tag accordingly.

Contract e-signature via Documents & Contracts
Most Australian residential builders use an HIA or MBA standard-form contract. Upload the completed PDF into Documents & Contracts, add signature and date fields for both parties, and send for e-signature with reminders; the signed copy sits on the contact record. This is not legal advice: check e-signature and cooling-off requirements with your association or solicitor, and note that licensing bodies such as QBCC in Queensland and the VBA in Victoria have their own rules on contract content and deposit limits. Construction-stage updates and progress-claim reminders
After signing, the opportunity moves into the Construction pipeline with stages matching your progress claims: Deposit, Base, Frame, Lock-up, Fixing, Practical Completion. Each stage move sends the client a short update email (done, next, rough timing) and tasks your admin to raise the progress-claim invoice in HighLevel, synced to Xero. Payment reminders run at day 3 and 7 with an owner alert at day 10. Informed clients pay faster and review better.
Handover reviews, referrals and anniversaries
When the final claim is paid, a workflow waits 7 days, sends a review request by SMS with a direct Google review link, and follows with an email 5 days later if no review appears. Two weeks on, a referral email offers a modest thank-you for introductions. Twelve months after handover, an anniversary email carries a maintenance checklist and a reminder that you also do extensions and second storeys.
Xero sync for invoices
Connect Xero under Payments so every HighLevel invoice, from design fee to final claim, appears in Xero with the right contact and account code, and Text-2-Pay payments reconcile automatically. The numbers: what a better site-visit rate is worth
Take a builder receiving 40 enquiries a month. Without automation about 30 percent become site visits: 12. With speed-to-lead SMS, qualification and reminders I typically see 45 percent: 18. Assume every site visit produces a quote and 1 in 6 quotes converts at an average contract value of $120k.
Without automation: 12 quotes, 2 contracts, $240,000 in signed work per month. With automation: 18 quotes, 3 contracts, $360,000. That is an extra $120,000 of contracted revenue every month from the same enquiry volume, or $1.44 million a year. Even at half that lift it pays for the software and setup in the first quarter, and the quote follow-up sequence adds a second lift by raising the 1-in-6 conversion rate.
Australian compliance notes
Every automated SMS here is a commercial electronic message under the Spam Act: identify your business, include an unsubscribe method and only message people who have consented or enquired. The ACMA spam rules are short and worth reading once. For email, set up Mailgun on your own domain with SPF, DKIM and DMARC.
Common mistakes to avoid
- Using one pipeline for sales and construction, so nobody can see which quotes need chasing.
- Stopping quote follow-up after a week. Builders lose more jobs to silence between day 10 and day 40 than to price.
- Sending the booking link before qualifying, so estimators drive to $40k jobs with $15k budgets.
- Skipping the paid preliminary agreement, which removes the only real signal that a client is serious.
- Leaving SMS opt-out disabled or sending from a shared number, which breaches ACMA rules and gets the number filtered.
- Creating invoices in Xero by hand while HighLevel also creates them, producing duplicates.

Frequently asked questions
Is GoHighLevel for builders suitable for a small company doing six to ten jobs a year?
Yes. The automations do the chasing a small builder rarely has time for. One extra $150k contract from better follow-up covers the software and setup, and construction-stage updates cut the calls from clients asking for progress.
Can HighLevel replace Buildxact or a dedicated estimating tool?

How long should the quote follow-up sequence run for a renovation?
At least 32 days with seven or eight touches, then monthly check-ins until the client replies. Renovation decisions depend on finance, partner agreement and sometimes council, so a sequence that stops at day seven misses most of the decision window.
Do I need a separate SMS number for the builder account?
Yes. Provision a dedicated Australian number through LeadConnector. Shared numbers get filtered by carriers and make ACMA sender identification harder. Register a branded sender ID if you want your business name to appear instead of a number.
Does the HIA or MBA contract have to be signed on paper?
Not usually, but it varies by state and contract version, so confirm with your association or solicitor. Many Australian builders use HighLevel e-signature for preliminary agreements and full contracts, with the signed copy and audit trail stored on the contact record.
