In this guide I will cover how Conversation AI works in 2026, how to train it with your website URLs and FAQ pairs, how to connect it to your calendars for real bookings, and how to keep Australian SMS traffic compliant. What Conversation AI is and where it lives

Conversation AI is GoHighLevel's built-in messaging bot. Two things trip people up early. First, Conversation AI is configured per sub-account, so every client location needs its own bot and training data. Suggestive mode

Auto-Pilot mode

Training the bot properly

An untrained bot gives generic answers, and generic answers do not book appointments. GHL gives you three training inputs; use all of them.

Web URLs

Point the bot at your website pages — services, pricing, about, location pages. You can crawl a full site or add individual URLs, but be selective: feeding it your entire blog dilutes answers with off-topic content. After crawling, delete anything stale, because the bot will confidently quote whatever you leave in there.

FAQ pairs

FAQs are question-and-answer pairs you write manually, and they override the fuzzier URL-based knowledge. Use them for the questions that decide bookings: "Do you bulk bill?", "How much is the initial consult?", "Are you open Saturdays?". Write each answer exactly as you want it sent, in your brand voice, with a nudge toward booking where it fits. Aim for 15–30 tight pairs rather than 100 vague ones.

Intents and goals

Alongside raw knowledge, you set the bot's objective. The appointment booking intent tells the bot its job is to collect what it needs and offer times, not just chat. Define qualifying questions — name, suburb, service required — and have the answers written into custom fields, with tags applied so your Workflows and pipelines know where the lead sits.

Test before you trust

Use the Bot Trial (test bot) tab before the bot touches a live lead. Ask it the ten questions your front desk hears every week, then ask them badly — typos, slang, half-sentences. Fix every wrong or waffly answer with a new FAQ pair, and repeat until you cannot trip it up.

If your bot speaks over SMS in Australia, compliance is part of the build. A2P 10DLC registration applies to US traffic; for Australian numbers, the rules come from ACMA under the Spam Act — consent, clear sender identification, and a functional opt-out on every commercial message. Since the ACMA's crackdown on SMS impersonation, alphanumeric sender IDs must also be registered through your provider if you send from a business-name sender ID rather than a mobile number.

In practice: whether you run LeadConnector's default Twilio-backed setup or your own Twilio account, make sure your business name appears in messages, honour STOP replies immediately (GHL's DND settings handle this when configured), and only message contacts who have opted in. This matters double if you point the bot at old lists for database reactivation — a high-ROI play, but only when the consent trail is clean. The same principle applies to email: get Mailgun authenticated with SPF and DKIM so your email follow-up does not land in spam while the SMS side hums.

Measuring performance

Track four numbers monthly per sub-account: bot response rate (share of inbound messages handled without escalation), appointments attributed to the bot (tag every bot-booked appointment so it is filterable), show rate on those bookings versus human-booked ones, and handoff rate. A rising handoff rate means new questions your FAQ pairs do not cover — your training backlog, neatly prioritised. Review actual transcripts weekly for the first month; ten minutes of real conversations teaches you more than any dashboard.

Common mistakes to avoid

  • Going straight to Auto-Pilot on day one instead of running Suggestive mode first.
